Who we are
Welodge runs Welodge, software that landlords use to manage rent, certificates and records. This policy explains what personal information Welodge handles and why. Questions go to support@getwelodge.com.
Two roles, kept separate
For your own account details (your name, email and business details) we decide how the information is used, so we are the controller.
For information you enter about tenants, owners, vendors and properties, you decide what to collect and why, so you are the controller and we process it on your behalf, only to provide Welodge to you. You are responsible for having a lawful reason to hold it and for telling your tenants.
What we collect
- Your name, email address and a hashed password, and your business name.
- Everything you enter: properties, units, tenants (name, email, phone, date of birth, notes), leases, invoices, payments, vendors, bills, maintenance requests, certificates and uploaded documents.
- Bank details you enter so they can be printed on your invoices, and the bank statements you upload for matching.
- Server logs, which include IP addresses and browser details, kept to run and secure the service.
- If you pay for a plan, billing details are handled by our payment provider, Paddle. We do not see or store your card number.
Why we use it
- To provide Welodge: send invoices and reminders to your tenants, match payments, track certificates and produce your reports.
- To bill you and to keep your account secure.
- To answer your questions and fix problems.
We do not sell personal information and we do not show advertising.
Who else handles it
- Paddle sells our subscriptions as merchant of record and handles payment and tax.
- Our email delivery service sends invoices, reminders and other messages on your behalf.
- Our hosting provider stores the data, and a copy of the database is kept with a separate storage provider as a backup.
- Our error monitoring service receives technical details when something breaks, such as the page address and the error. It does not receive the contents of your records.
- Google, only if enabled for your account: address suggestions send the address text you type to Google Maps, and reading an uploaded vendor bill sends the document to Google's Gemini service to extract line items.
These providers may only use the information to do that job.
Cookies
Welodge sets one essential cookie that keeps you signed in. We do not use advertising or analytics cookies. The payment page loaded from Paddle may set its own cookies.
How long we keep it
We keep your information while your account is open. When you delete your account in Settings, we permanently delete your records, uploaded files, tenant details and activity history from the live service.
Your choices and rights
- Take your data: Settings has a one-click export of everything you have entered, as spreadsheets.
- Correct it: you can edit your details and your records at any time.
- Delete it: Settings lets you delete your account and everything in it.
- For anything else, such as a tenant asking what you hold about them, email support@getwelodge.com. You may also complain to your local data protection authority.
Security
Welodge is served over HTTPS and passwords are stored hashed, never in plain text. Each account's data is kept separate from every other account's. No system is perfectly secure, so please use a strong, unique password.
Changes
If we change this policy in a way that matters, we will update the date above and tell you by email.
